This Privacy Policy explains how Fieliq Inc. collects, uses, shares, and protects personal information when you use Fieliq, our AI proposal software for landscaping and outdoor-services businesses.
1. Who we are
Fieliq Inc. ("Fieliq", "we", "us") is a United States company that provides the Fieliq software service. For personal information about our account holders and website visitors, Fieliq acts as the data controller.
When you enter your own customers' details into Fieliq to prepare a proposal, you are the controller of that information and Fieliq processes it on your behalf as a service provider/processor, under your instructions.
2. Information we collect
- Account data — name, email address, hashed login credentials or federated sign-in identifier, and account settings.
- Company profile data — business name, logo, business email and phone, website, address, brand colors, signatures, and AI preferences you configure.
- Customer and proposal content — the customer names, emails, phone numbers, addresses, job descriptions, pricing, and proposal text you create or submit.
- Support and feedback data — messages, bug reports, and optional screenshots you send us.
- Usage and technical data — pages viewed, features used, proposal and edit counts, timestamps, approximate location derived from IP address, device and browser type, and log/diagnostic data.
- Billing data — subscription plan, status, and renewal dates. Card numbers are collected and stored by Paddle, not by Fieliq.
3. How and why we use information
- Create and administer your account and workspace — performance of our contract.
- Provide the service: generate, edit, store, export, and deliver proposals, including sending your inputs to our AI provider for processing — performance of our contract.
- Manage subscriptions, plan limits, and entitlements — performance of our contract and legal obligation.
- Provide customer support and respond to feedback — legitimate interests.
- Monitor security, prevent fraud and abuse, and debug faults — legitimate interests and legal obligation.
- Understand aggregate product usage to improve features and reliability — legitimate interests.
- Send service and transactional emails (verification, password reset, billing notices) — performance of our contract.
- Send product or marketing emails — consent, which you can withdraw at any time.
We do not sell personal information, and we do not use your customer or proposal content to train third-party foundation models.
4. Who we share information with
- Service providers / subprocessors — cloud hosting and database providers, authentication and email delivery providers, AI model providers used to generate proposal text, and product analytics and error-monitoring tools. They may only process data to provide services to us.
- Paddle.com — our Merchant of Record, for the sale of subscriptions, payment processing, subscription management, invoicing, tax compliance, and refunds.
- Professional advisers — legal, accounting, and insurance advisers where necessary.
- Authorities — where required by law, legal process, or to protect rights and safety.
- Successors — in connection with a merger, acquisition, or sale of assets, subject to this policy.
5. Data retention
We keep account, company, and proposal data for as long as your account is active. If you delete a proposal it is removed from your workspace; if you close your account we delete or anonymize your data within 90 days, except where we must retain records longer for tax, accounting, fraud-prevention, or legal purposes. Backups are cycled out on a rolling basis.
6. Security
We apply appropriate technical and organizational measures, including encryption in transit and at rest, per-account data isolation enforced at the database level, least-privilege access controls for staff, and private storage buckets for uploaded logos and screenshots. No system is perfectly secure, so you should also protect your own credentials.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, to withdraw consent, and to opt out of marketing. US residents in states with privacy laws (including California) also have the right not to be discriminated against for exercising these rights; we do not sell or share personal information for cross-context behavioral advertising.
Most data can be updated or deleted directly in the app. For anything else, email support@fieliq.com and we will respond within 30 days. If you are in the UK or EEA, you may also complain to your local supervisory authority.
8. International transfers
Fieliq is operated from the United States and our providers may process data in the US and other countries. Where personal information is transferred from the UK or EEA, we rely on appropriate safeguards such as Standard Contractual Clauses or an adequacy decision.
9. Cookies
We use strictly necessary cookies and similar local storage to keep you signed in, remember onboarding progress, and secure the service. We may use limited first-party analytics storage to measure aggregate feature usage. We do not use advertising or cross-site tracking cookies. You can clear or block cookies in your browser settings, though sign-in will not work without essential cookies.
10. Children
Fieliq is a business tool and is not intended for anyone under 18. We do not knowingly collect personal information from children.
